MyOffice Privacy Policy
MyOffice is desktop software. Your documents and your email live on your own computer, not on our servers. This policy explains the small amount of information we do receive, and — in detail — how MyOffice Mail handles a Google account when you choose to connect one.
The short version
- Your documents, spreadsheets, presentations and email are stored on your device.
- Connecting a mail account does not route your mail through us. MyOffice connects from your computer directly to your mail provider.
- We do not sell your data or use your content to train AI models, and we display no advertising to you in the app or on our site. To measure our own ads that run elsewhere, when you download a trial or buy a licence on our website we do share a limited, cookieless conversion signal with Meta (Facebook) — see Advertising measurement below, where you can opt out.
- What we do receive is limited to what is needed to sell you a licence, deliver updates, and answer your support requests.
1. Who we are
I Own Software LLC, 321 N Mall Dr, R259, Saint George, UT 84790, USA publishes MyOffice. For the account and billing data described below we are the data controller. For the documents and mail you handle inside the application, you are — the data is on your machine and we have no access to it.
2. What we receive
| Category | What it is | Why |
|---|---|---|
| Purchase & licence | Name, email address, licence key, plan, invoice records; card details are handled by our payment processor and never reach us in full | To sell and validate your licence and meet tax/accounting duties |
| Update checks | The application asks our update service which version is current. This carries the request itself and standard connection data such as your IP address and app version | To deliver updates during your update period |
| Trial check-in | While you use a free trial, the application checks in with our servers, typically once a day. Each check-in sends an identifier generated from your computer’s characteristics (it does not contain your name), the app and its version, and, once you provide it, the email address you entered in the app. We record the dates of your first and most recent check-in, how many days you used the app, and your IP address at your first and most recent check-in — only those two addresses, not a history. If the email you enter in the app differs from the one you downloaded with, we may connect the two by matching the network address of the download and the installation within 48 hours of each other. Check-in information is not shared with Meta, Google, Vibe or any other advertising partner, and trial check-ins stop once you activate a purchased licence | To run your trial (its length, extensions, and preventing repeat trials by reinstalling), to know the software was installed, to send you trial reminders, and to connect your installation to the trial you downloaded |
| Support correspondence | Whatever you choose to send us when you ask for help, including any attachments or logs you attach | To answer you |
| Website visits | Aggregate, cookieless first-party analytics on myoffice.iownsoftware.com. Our analytics beacon sets no advertising cookies and does not fingerprint your device. Anonymous visits are not linked from one day to the next. If you give us your email address — to download a trial or to sign in — we link it to that visit and to the pages you viewed in it, and those pages stay associated with your address so we can see how people reach us. We remove that link after 24 months, leaving anonymous statistics. You can ask what we hold against your address, or have it deleted, at privacy@iownsoftware.com. Separately, trial downloads and purchases trigger the advertising-measurement signal described below | To see which pages are useful, and to measure our own advertising |
What we do not receive: your documents, your spreadsheets, your presentations, your email messages, your contacts, your mailbox credentials, or your OAuth tokens.
Advertising measurement
When you download a trial or complete a purchase on our websites, we share a limited, cookieless conversion signal with Meta Platforms, Inc. (Facebook) through its Conversions API to measure and improve our advertising. It is sent from our servers — no advertising cookie or pixel is placed in your browser — and consists of a one-way hashed (SHA-256) version of your email address, your IP address and browser user-agent, the purchase amount where applicable, and, if you arrived from a Meta ad, the ad click identifier from the page web address. This signal is drawn only from your website visit; it never includes your documents or mail.
We also note advertising click identifiers from Google and Microsoft ads when you arrive from one, but we use these only for our own measurement and do not transmit them to Google, Microsoft, or any other party. We do not sell your personal information.
Our marketing websites may also load a streaming-TV advertising measurement script from Vibe (vibe.co), unless you have opted out. Unlike the Meta signal, it runs in your browser rather than on our servers: it sends Vibe your IP address, basic browser information and the page you visited, which Vibe uses to tell whether a household that saw one of our TV ads later visited our website. Vibe may set a cookie or similar identifier in your browser for this purpose. We do not send Vibe your email address, your name, or your payment details. It never receives your documents or mail. Vibe’s use of this information is governed by Vibe’s own privacy policy.
You can opt out of this advertising sharing (with Meta and Vibe) at any time: we honor the Global Privacy Control (GPC) signal, so a browser set to send GPC is automatically excluded (and Vibe’s script is not loaded), you can opt out on your browser from our Your Privacy Choices page, and you can also opt out by contacting us at privacy@iownsoftware.com.
3. MyOffice Mail and connected accounts
MyOffice Mail is an email client. When you add an account, the application connects from your computer directly to your mail provider over IMAP and SMTP. Messages are downloaded to, and stored in, a local mail store on your device. There is no I Own Software mail server in that path, and we do not receive copies of your mail.
Credentials and OAuth tokens for connected accounts are stored on your device using the operating system's protected storage where available. Anyone with access to your computer and your user account may be able to read your mail, so please keep the device secured.
4. Google user data (Gmail accounts)
If you connect a Google account, MyOffice Mail uses Google's OAuth 2.0 sign-in. You authorise it in Google's own consent screen, and you can withdraw that authorisation at any time.
- What we request. The scope
https://mail.google.com/, which is the only scope Google supports for IMAP and SMTP access. MyOffice Mail is a full email client, so it needs to read and organise your mail, send mail you compose, and permanently delete messages when you empty the trash — operations that IMAP performs directly and that narrower, REST-only Gmail scopes cannot serve. It is requested solely to provide the mail features visible in the application's own interface. - Where the data goes. Your Gmail messages are transferred directly between Google and your computer. They are stored locally on your device. They are not sent to, stored on, or processed by I Own Software servers.
- Tokens. The OAuth access and refresh tokens issued by Google are stored on your device only. We do not hold them, and we cannot access your Google account.
- No humans read it. No I Own Software employee or contractor reads your Google user data. Because it never reaches us, we are not in a position to.
- No transfer, no sale, no ads, no AI training. We do not transfer Google user data to third parties, do not sell it, do not use it for advertising, and do not use it to develop, train, or improve any machine-learning or AI model.
- Revoking access. Remove the account inside MyOffice Mail, and/or revoke the application at myaccount.google.com/permissions. Deleting the account from MyOffice removes its locally stored mail and tokens from your device.
Limited Use
MyOffice's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
5. Where data is processed
The limited information we do receive (purchases, licences, update checks, support) is processed on servers we operate in Germany and the United States, and by the subprocessors listed below. Your documents and mail are not part of this — they remain on your device.
6. Subprocessors
| Provider | Purpose |
|---|---|
| Hetzner Online GmbH | Servers hosting our website, licence and update services (Germany) |
| Cloudflare, Inc. | DNS, TLS and protection for our websites |
| Stripe, Inc. | Payment processing |
| SendGrid / Twilio | Transactional email about your purchase and licence |
| Meta Platforms, Inc. (Facebook) | Advertising measurement via the Meta Conversions API: on a trial download or purchase we send a cookieless, server-side conversion signal (a SHA-256-hashed email address, IP address, browser user-agent, purchase amount where applicable, and any Meta ad click identifier). Meta receives none of your documents or mail and acts as an independent advertising/measurement recipient for this signal — not as a processor operating on our behalf. See Advertising measurement |
| Vibe (vibe.co) | Streaming-TV advertising measurement on our marketing websites, unless you opt out: a script in your browser sends your IP address, basic browser information and the page you visited. Receives no email address, name, payment details, or product data. |
Meta is listed above for transparency as a recipient of the advertising-measurement signal only; it is not a processor of the purchase, licence, update or support data we hold. You can exclude yourself from this share as described under Advertising measurement.
7. How long we keep it
- Purchase and licence records: as long as tax and accounting law requires, typically 7 years.
- Support correspondence: up to 24 months.
- Server logs: up to 90 days.
- Your documents and mail: kept by you, on your device, for as long as you want them. Deleting them in the app deletes them locally; we have nothing to delete.
8. Your rights
Depending on where you live you may have the right to access, correct, delete, restrict, or object to our processing of your personal data, to receive it in a portable format, and to withdraw consent. Write to privacy@iownsoftware.com and we will respond within 30 days. If you are in the EEA or UK you may also complain to your local supervisory authority.
9. Security
- Connections to mail providers use TLS, and to our services use HTTPS.
- Credentials and tokens are stored in the operating system's protected storage where available.
- Application updates are code-signed.
- Administrative access to our systems requires individual accounts with two-factor authentication.
No system is perfectly secure. If a breach affects your personal data we will notify you and the relevant authority without undue delay, and within 72 hours where the GDPR requires it.
10. Children
MyOffice is a productivity product for general and business use and is not directed at children under 16. We do not knowingly collect their personal data.
11. Changes
We will post changes here with a new effective date, and tell you in advance of material changes that affect how we handle your data.
